Data That May Be Collected
Depending on the services used and the information voluntarily provided by the user, T.C.V Utilitaires may process, among other things:
- first and last name;
- email address;
- phone number;
- pickup, delivery, or service addresses;
- preferred date and time for the service;
- information regarding moving, transportation, delivery, or handling;
- vehicle size or type of service requested;
- desired number of warehouse workers;
- information voluntarily provided in forms, messages, or communications with T.C.V Utilitaires;
- information necessary to process and track a reservation;
- information needed to verify an existing reservation;
- limited technical information necessary for the operation and security of the services and for preventing abuse.
T.C.V. Utilitaires asks users not to provide any sensitive information that is not necessary for processing their request or fulfilling their service.
Purposes of Data Processing
Personal data may be used to:
- respond to requests submitted via the website's forms or by email;
- provide information about the services offered;
- prepare, save, and manage a reservation;
- enable the booking of transportation services, trucks with drivers, moving services, or loading and unloading services;
- manage payments and down payments;
- check whether a reservation exists and review the details;
- coordinate the provision of a service with drivers, warehouse workers, or other relevant service providers;
- assist users using AI-powered T.C.V.;
- analyze the requests received to identify the service requested and any missing information;
- handle the administrative and sales-related follow-up for services;
- ensure the security of services and prevent misuse, fraud, or unauthorized access;
- comply with applicable legal, accounting, tax, or administrative requirements.
Legal Basis for Data Processing
Depending on the nature of the processing, data is processed on one or more of the following legal bases:
- the performance of a contract or precontractual measures, particularly when a person makes a reservation, requests information, or requests a service;
- the legitimate interest of T.C.V Utilitaires, in particular to ensure the operation and security of its services, prevent abuse, and monitor its business activities;
- compliance with legal obligations, particularly those related to accounting, tax, or administrative matters;
- the user’s consent, when such consent constitutes the appropriate legal basis for the processing in question.
T.C.V. AI
T.C.V. Utilitaires offers a digital assistant called T.C.V. AI.
In particular, this assistant allows users to:
- to obtain information about the services offered;
- to be referred to a service tailored to their needs;
- to obtain certain calculations or information regarding T.C.V. Utility Services;
- to be directed to the appropriate booking process;
- to receive assistance regarding an existing reservation after the appropriate verification.
The information provided to T.C.V AI may be processed automatically in order to understand the user’s request and generate an appropriate response.
When the available information does not allow for a sufficiently reliable response, or when a request requires special consideration, the user may be directed to T.C.V. Utilitaires so that a human can handle the request.
T.C.V AI is not intended to make decisions on its own that have significant legal consequences for an individual.
Use of Artificial Intelligence Services
Certain features of T.C.V AI and certain internal processes of T.C.V Utilities may use the artificial intelligence services provided by OpenAI through its API.
These services can be used, in particular, to:
- to understand and organize certain requests;
- to identify relevant information in a request;
- to identify any missing information;
- to generate responses or draft responses;
- to assist with the operational processing of incoming requests.
The information provided to these services is limited to what is necessary for the specific feature.
T.C.V Utilitaires uses OpenAI's professional services and APIs as part of these processing activities.
Google Services and Gmail
T.C.V AI — Messaging uses Google APIs to access only the work email account tcvutilitaires@gmail.com, after obtaining authorization from the account owner. Customers do not grant access to their personal Gmail accounts.
The system searches the inbox for new relevant messages and forms and reads their subject lines, text content, and the technical details necessary for processing them. It identifies the request, the cities, the service, the volume, the handlers, the desired date, and any missing information, when such information is included in the message. Attachments are not downloaded or analyzed by this Gmail processing; their presence may be flagged for human review.
The subject and text content of the selected emails, within the limits configured by the system, may be transmitted to the OpenAI API via the Cloudflare server to analyze the request, classify it, and prepare a draft response or a recommended action. These texts may contain personal data included in the message; they are not automatically anonymized before transmission. The analysis is designed not to include contact information or other unnecessary sensitive information in its results.
The automated process checks for new messages every five minutes, with a maximum of one new scan per run. Automatic sales responses are disabled: draft responses remain internal.
Gmail is also used to send, from tcvutilitaires@gmail.com, the technical verification codes required to view a reservation. The code is sent to the customer’s email address associated with the reservation, not to the Calendly account email address. No reservation information is disclosed until the identity is verified. The code is valid for ten minutes, is single-use, and has a limited number of attempts; the verified session is valid for fifteen minutes.
These services make it possible, in particular, to:
- to identify relevant customer requests;
- to analyze the information needed to process a request;
- to make it easier to organize and track them;
- to prepare a response or take administrative action.
Access to Google services is limited to the features necessary for the operation of the relevant services.
Use of Data Obtained Through Google APIs
Data obtained through Google APIs and information derived from it are used solely for the request processing and verification functions described above. They are not sold, nor are they used for advertising, targeting, or retargeting purposes, nor to determine creditworthiness or extend credit. T.C.V AI does not use them to train a general artificial intelligence model.
Transfers to OpenAI and Cloudflare are used exclusively for the operation, hosting, and security of these authorized functions. Any other transfers are limited to the exceptions provided for under the Limited Use requirements, including a legal obligation; a merger or sale would require the explicit prior consent required by these requirements. Human access to data obtained through Google APIs is limited to cases permitted under the Limited Use requirements: explicit consent to view specific messages, security needs, legal obligations, or aggregated data for authorized internal operations.
Analyses and response drafts are stored in encrypted form in the Cloudflare server database. Their content is purged after 90 days; minimal identifiers and technical status information may remain to prevent duplicate processing. This timeframe applies to internal analysis results and does not delete the original emails from the Gmail inbox. The login credentials required for automated operation are protected on the server side and are not exposed in the widget. Communication with APIs uses HTTPS.
The Gmail analysis uses the OpenAI API with response caching disabled (store:false). This setting does not guarantee the complete absence of technical caching by the service provider; the service provider’s processing remains subject to the applicable terms of its API service.
The Google account holder can revoke T.C.V AI’s access through the “Third-Party Connections” section of their Google account. Revoking access prevents future access authorized through that connection; it does not automatically delete data that has already been stored. To request access to, correction of, or deletion of stored data, contact tcvutilitaires@gmail.com as described in the “Individual Rights” section.
T.C.V AI — Messaging’s use of information received from Google APIs complies with the Google API Services User Data Policy, including its “Limited Use” requirements: https://developers.google.com/terms/api-services-user-data-policy. These restrictions specific to Google data take precedence over the general provisions of this policy regarding recipients or data sharing.
